Booking & Rental Information

Room Rentals

The following is an information guide for those interested in renting a room in the Quinte Sports & Wellness Centre. Contained within this package is important information to guide you in selecting the proper room to meet your needs. Additionally, all forms that must be filled out and all payments that must be made before your rental can be approved are outlined. Important policies that must be adhered to for your room rental are also outlined in this package.

Our Rooms

The City of Belleville Recreation, Culture & Community Services Department has eight meeting rooms available for rent within the Quinte Sports & Wellness Centre.

All of our rooms are available for rent year round, daily from 6am to 11pm, with some exceptions.

Rooms range in size and the features they offer, allowing you to choose the room that best fits your wants and needs.

Our rooms are frequently rented out for birthday parties, corporate parties, retirement parties, meetings, training sessions, presentations and a variety of other uses.

Below we have listed all of the rooms that the Quinte Sports & Wellness Centre has available for rentals. All Rooms contain a full complement of tables and chairs for the stated room capacity.

Those renting rooms will be able to sign out the any required audio/visual (A/V) components, as well as various supplies that you may require during your rental. All rental rooms include instructions on to use of any A/V equipment provided.

Rental Fees
Listed below are the current room rental rates. Meeting rooms vary in price depending on room size and the amenities located within each room. Non profit (minor sports organizations, charitable organizations, service groups, etc.) are eligible for a reduced rate when renting a room, listed in the first column below.

A charge of $25 will be applied to Non Profit rentals if selling items or charging admission during their rental. Private rentals will be charged the full rate listed in the second column below.

Renting a Room

The following are the steps that will be required to rent a room at the Quinte Sports & Wellness Centre.
1. Determine the specific date or dates of the room rental that you want to make. If you have a preference also determine the room that you would most like to book.
2. Contact the Recreation, Culture & Community Services Department (contact info on back page) to determine the availability of a room for your desired time(s) and location(s).
3. Once you have confirmed that the rental time(s) you want are available you can tentatively reserve those time(s). However, until all of your paper work has been completed, your rental contract signed and your payment processed your rental is not guaranteed.
4. Fill out all necessary forms contained within this package and return them to the Quinte Sports & Wellness Centre’s Customer Service Desk as soon as possible. This will help to ensure that we are able to provide you with everything you will need during your rental and guarantee that your rental runs smoothly and enjoyably.
5. Make your room rental payment as soon as possible in order to ensure that your room time does not get booked by another group.
6. Sign your room rental contract.
7. Read over all policies touched upon within this package and those outlined in your rental contract. Failure to adhere to these policies could result in the loss of your rental.

Policies

The following are some important policies that those renting a room should be aware of.

Payment: All rentals must be paid in full before the designated rental period. Payment(s) may be made by cheque, credit card (Visa or MasterCard), debit or cash. Please make cheques payable to the City of Belleville. NSF cheques will be charged a fee of $45.00 per cheque.

Cancellation: In case of cancellation within ten (10) working days prior to the event, the deposit will be returned, less an administrative charge of 25% of the entire rental. In case of “No Show” or cancellation of the event under ten (10) working days, no refund will be allowed.

Alcohol: Absolutely no alcoholic beverages or illegal drugs are permitted on facility property, including dressing rooms, without the written consent of the City of Belleville and the appropriate provincial government licence.
Smoking: There is absolutely NO SMOKING permitted within the facility as per By-Law #2002-118 as approved by the Corporation of the City of Belleville.

Arena Rentals

The following information will help guide you in renting the ice or floor surface at a City of Belleville arena.  Additionally, all forms that must be filled out and all payments that must be made before your rental can be approved are outlined. Important policies that must be adhered to for your ice/floor rental are also outlined below.

The City of Belleville Recreation, Culture & Community Services Department maintains four arenas (Yardmen, Wally Dever, Family Dental Centre Arena and Mackay Insurance Arena) within the Quinte Sports & Wellness Centre. These facilities are utilized throughout the year for hockey, speed skating, public skating, figure skating, birthday parties, ball hockey and much more. Ice surfaces are offered throughout the entire year, daily from 6am-11pm, with availability varying by season (see availability below). Floor rentals are generally available during the spring and summer months only.
Renting an Arena

The following are the steps that will be required to rent the ice/floor in an arena at the Quinte Sports & Wellness Centre.

1. Determine the specific date or dates of the ice/floor rental that you want to make. If you have a preference also determine the arena that you would most like to book.

2. Contact the Recreation, Culture & Community Services Department to determine the availability of ice/floor for your desired time(s) and location(s).

4. Fill out all necessary forms and return them to the QSWC Customer Service Desk as soon as possible. This will help to ensure that we are able to provide you with everything you will need during your rental and guarantee that your rental runs smoothly and enjoyably.

5. Make your ice/floor rental payment as soon as possible in order to ensure that your ice/floor time does not get booked by another group.

6. Sign your ice/floor rental contract.
