New Recreation Software Roll Out Begins July 27, 2018

The Recreation, Culture & Community Services Department is upgrading the recreation software this year making it easier than ever for you to register for the programs and services that meet your individual needs.

 

Commencing Friday, July 27th, the Recreation, Culture & Community Services Department will begin the transitionxcited group of friends watching tv from tablet from our current recreation software system to our new recreation software system (Legend Recreation Software).

Clients are encouraged to set up their account prior to August 20th which is the kick off of Fall/Winter Registration. A new account is required for all existing and new clients.

What Does This Mean For Clients?

All clients will need to set up their new account in order to register for programs, pay for drop-ins, purchase multi-pack vouchers and obtain a Wellness Passport.

  1. Visit the Customer Service Desk at the Quinte Sports & Wellness Centre or

Steps to Take

Existing Clients **

  1. Set up account (online or in person)
  2. Get updated picture for new system
  3. Use existing Wellness Passport issued or obtain new Wellness Passport and continue to enjoy activities at the Quinte Sports & Wellness Centre

Existing Belleville’s 50+ Centre Members **

  1. Your account has been created
  2. Stop by the Customer Service Desk to get your updated picture for new system and verify account information
  3. Use existing Wellness Passport issued or obtain new Wellness Passport and continue to enjoy activities at the Quinte Sports & Wellness Centre and the 50+ Centre

New Clients

  1. Set up account (online or in person)
  2. Fill out Wellness Passport Form (bring ID) and get picture taken
  3. Receive your Wellness Passport to enjoy activities at the Quinte Sports & Wellness Centre

 

What you can look forward to with the new system

  • Our “Belleville Rec In Motion” online registration system is easy, accessible 24/7 and there are no additional user fees (what you pay at the front counter is what you pay online)
  • Enhanced communication tools, including the Belleville Recreation App (available Aug 20) will help keep us connected to you with program changes, cancellations, new programs or service information.
  • Each client is set up first as an individual in the system and can be linked to more than one family or group and unlinked as needed. (i.e. Parents who are divorced and share custody of the children can now put the child on each of their accounts).
  • Drop in activities will be available online for you to view and register for in advance of the activity or pay at the customer service desk at the Quinte Sports & Wellness Centre.
  • Clients participating in the Fee Assistance Program will be able to register for programs online.

General Information:
Registrations will begin at 8:30am on the first day of registration. Registrations will be accepted on a first come, first served basis. Receipts for registrations received by telephone will be mailed.

Please register early to avoid program cancellation due to low enrolment. Insufficient registrations may necessitate the cancellation of the program.

To ensure the safety and enjoyment of all participants and to preserve our facilities for their intended use, all participants 10 years and over who are accessing the Family Dental Centre Indoor Track and special program areas, including the Templeman Menninga Aquatic Centre must obtain a FREE Wellness Passport and scan their card at the doors during each visit. (Must be 13+ to use the track without a parent).

Method of Payment

Payment may be made by cheque, credit card (Visa or Master Card), debit card or cash. Please make cheques payable to the City of Belleville. Any cheques returned from the bank are subject to a fee of $45.00 per cheque.

Class Cancellations and Inclement Weather

Class Cancellations and Inclement Weather: Recreation programs offered by the City of Belleville may be cancelled for a number of reasons; including low registration numbers, inclement weather, instructor illness, etc.

If the program you want is cancelled, due to low enrolment, you will be notified by telephone before the program start date. Please be sure to provide us with your home, cell, email, and work numbers at the time of registration.

A class missed (by the participant) cannot be made up at any other time or in any other session.

If a class is cancelled due to inclement weather, illness of an instructor, unavailability of facility, or an act of God, every attempt will be made to have the missed class made up. Visit the Quinte Sports & Wellness Centre website at www.qswc.ca for up to date information on program changes and cancellations or Follow us on Twitter @QSWC or like us on Facebook – Quinte Sports & Wellness Centre.

The Department reserves the right to change the time, location, instructor or fee for a program.

Inclusive Recreation

All Recreation programs offered by the City of Belleville are provided in an inclusive environment. Participants who wish to bring a support person for assistance are always welcome in any of our Recreation Programs. Financial assistance in the form of fee reductions is available for families and individuals that qualify. Please see our Fee Assistance Policy or call our office for more information.


Refund/Withdrawal Process: 

Program Cancelled by Us – You will be notified just prior to your course start date if we cancel a program. You will have the option to switch to another program or receive a credit on your account that can be used for any future registrations. All refunds must be specifically requested.

If you withdraw from a program PRIOR to the start date (must be 24 hours prior to the start of the course) – A refund in the form of a credit will be placed on your account and is subject to a $15 administration fee.

If you wish to withdraw from a program AFTER the program has started  – No refund or credit will be issued except for special circumstances. You will have the option of transferring to another program should space be available. The $15.00 administration fee is not charged for transfers.

If you withdraw from a program due to medical reasons – The refund will be issued on a pro-rates basis and the administration fee is waived.

Refunds will be issued in the form of a credit on your account unless a refund is specifically requested. All credits on account can be used towards future registrations. Refunds will be issued using the original payment method (except for cash). Debit/Credit payments will go back on the original card within 10-12 business days. Cheque payments will be refunded within 10-15 business days from clearing our system. In the event of multiple program withdrawals, the $15.00 administration fee will only be charged once per transaction, not per individual program withdrawn.
